Logistics documents often arrive in email, pdf, or paper format. The processing of these documents in the Transportation Management System (TMS) is frequently done manually. For example, export documentation required for the United Kingdom has approximately 25 manually entered fields. It is an inefficient, error-prone process that results in delayed availability of information. Documents should be quickly and easily available in digital format for agility within the highly competitive logistics market.
Our solution
Automate document processing with AI.
The standard Optical Character Recognition (OCR) solutions appear inaccurate or uneconomical for many logistics documents. Limitations include dealing with changes within the high daily volumes and a high degree of diversity (number of different fields in different places) in these documents. Vanenburg has developed a reusable solution based on Google’s powerful “Document AI.” We pay detailed attention to embedding our solution in your processes and workflows, including integration into your TMS/back-end system.


Step 1: scanning
The Vanenburg solution automatically opens mailboxes, emails, and scanned paper files. Our solution scans these documents’ applicable information (text and photos) and uses machine-learning-based optical character recognition (OCR) for data extraction.
Step 2: analyzing
We use innovative machine learning technology to classify (data) and extract document elements (e.g., recognizing a document as an export document and its applicable fields). This way, different documents can be scanned, analyzed, and processed separately. A value of the number of successfully read fields per document is given so that the software can determine whether the processing can be completed automatically, via approval, or possibly manually. For example, with standard export documents, 100% success can be 100% automated!

The automated processing of the “scanned” applicable information occurs in document workflows and back-end systems (such as a TMS), often using an API.
